UTMs are easy to create and easy to make messy. The problem usually starts when each channel or person invents a slightly different naming convention.

Start with a small rule set

Define the fields you actually need. Source, medium and campaign are usually the starting point. Content and term can be added when the team has a clear reason to use them.

Keep the values lowercase and avoid unnecessary punctuation. The exact rule matters less than consistent application.

Make campaign names describe the work

A campaign name should tell you what is being promoted without forcing an analyst to open the ad platform. Market, objective, offer and period can be useful components when the business has enough volume to need them.

Do not put every detail into the URL. A long string is not automatically a better string.

Document exceptions

Some platforms add parameters automatically. Some channels have fixed source or medium conventions. Document those exceptions so the team does not “correct” them differently in every campaign.

Review a sample of live links each month. Cleaning the rules only on paper is not enough.

A campaign example

Suppose one person uses “facebook”, another uses “meta”, and a third uses “fb” for source. The analytics report now treats the same channel as three sources. The problem is not tracking technology. It is the naming rule. A short written standard can eliminate the issue before it appears in the report.

Define source, medium, campaign and when to use content or term. Add examples and two or three common exceptions. Keep the document short enough that a busy campaign manager will actually read it.

Take a sample of current campaigns every month and search for spelling, case and structure drift. Fix the naming rule when the same mistake repeats. Do not build more fields to compensate for an unclear convention.

  • Using different spellings for the same source.
  • Putting dates in multiple formats.
  • Changing the meaning of medium from campaign to campaign.
